The Québec Port Authority places a high priority on the protection of personal information entrusted to it. We collect limited personal information, only when necessary to its activities and ensures that it is handled responsibly and in compliance with applicable legal requirements. All personal information collected by the Québec Port Authority is managed in accordance with the Privacy Act and other applicable legislation.

Personal information refers to recorded information about an identifiable individual (for example, a person’s name, email address, telephone number, home address, etc.).

When collecting personal information, the Québec Port Authority identifies:

  • the purpose for collecting the personal information ;
  • the legal authority for collecting the personal information ; and
  • the contact details of an employee who can answer questions about the collection and use of that information.

Use of Cookies

Cookies interact with you web browsers and www.portquebec.ca/en/. The Québec Port Authority uses cookies to improve website functionality and user experience.

Cookies can contain a unique identifier associated with your browser. This identifier allows the website to recognize repeat visits but does not, on its own, identify you personally. This information is used solely within the Québec Port Authority’s website environment and is not shared with other websites or organizations.

Information Collected Through Website Use

When you access www.portquebec.ca/en/, the following information is collected by our website’s systems:

  • Internet Protocol (IP) address and the domain name of the Internet service provider;
  • Type of browser and operating system used;
  • Date and time of your visit; and
  • Pages viewed.

Like cookies, this information is collected to support website administration. It is not used to identify individual users, except where identification would be required for security and law-enforcement purposes.

Information Provided Voluntarily

Personal information that you choose to provide to the Québec Port Authority is also collected and handled under the Privacy Act and other applicable legislation.

Such collect occurs when you fill out a form provided through www.portquebec.ca/en/, such as the Je Participe platform of the Contact the Port of Québec page, or when you provide your personal information in person, for example when filing an incident report.

Access to your personal information is limited to authorized employees and is used only for the purpose for which it was collected of for a directly related purpose. Any other use will require your explicit consent.

The Québec Port Authority does not disclose personal information to other public or private organizations, or to other individuals unless you consented to such disclosure of if it is required by law. We do not share, sell or exchange personal information with third parties or external websites.

Personal Information Collected When Visiting the Québec Port Authority

When you visit locations administered by the Québec Port Authority, you may appear on video recordings as certain areas are monitored by video surveillance systems for security and incident prevention purposes only.

Videos recordings of an identifiable individual may constitute personal information. The Québec Port Authority doesn’t use those recordings to identify individuals systematically. They can be used when identification is required for investigative or law-enforcement purposes.

Video recordings are retained for a maximum period of one month, after which they are deleted. In certain circumstances, the Québec Port Authority can retain excerpts of recordings for a longer period, for example when they relate to a reported incident.

You can ask for retention and access to a recording in the context of a personal information access request under the Privacy Act. Such request must be made within one month of the recording. Refer to our Access to Information and Personal Information page.

Protection of Personal Information

The Québec Port Authority implements appropriate administrative, technical, and physical safeguards to protect personal information against loss and theft, or against unauthorized access, disclosure or disposal. These safeguards are integrated into daily operations and are reviewed periodically to ensure their effectiveness.

Retention of Personal Information

The Québec Port Authority follows a retention schedule for all information assets it handles.

The Québec Port Authority only retains personal information for as long as necessary to fulfill the purpose for which it was collected and to comply with regulatory requirements. Where personal information is used to make a decision affecting an individual, it is retained for at least a year to allow a reasonable opportunity to request access.

Records are managed in accordance with approved retention schedules and applicable legislative obligations.
